Privacy Policy

This Privacy Policy explains how Sendvanta (“Sendvanta,” “we,” “us”) handles information when you use our website and cold-email platform (the “Service”). By using the Service you agree to this policy.

Information we collect

• Account information — your name, email address, workspace name, and authentication identifiers (via Firebase Authentication or Google sign-in).
• Billing information — plan, subscription status, and card metadata (brand and last four digits). Full card details are handled by Stripe; we never store them.
• Customer content — the leads, mailbox connections, email templates, campaigns, and sending data you add to the Service. Mailbox credentials are stored encrypted and are never displayed back to you or shared.
• Usage & deliverability data — sending activity, engagement events (opens, clicks, verified visits, replies, bounces), and reputation metrics used to operate and improve deliverability.
• Technical data — IP address, browser and device information, and cookies or local storage used to keep you signed in and to run the product.

How we use information

• To provide, secure, and improve the Service and its deliverability features.
• To authenticate you and protect your account.
• To process subscriptions and add-ons through our payment processor.
• To communicate with you about your account, security, and product updates.
• To detect abuse and enforce our Terms of Service.

How we share information

We do not sell your personal information. We share it only with service providers that help us run the Service, under contracts that protect it — including Stripe (payments), Google Firebase (authentication), Google Postmaster Tools (domain reputation, when you connect it), Anthropic (AI features you invoke), and our cloud infrastructure providers. We may disclose information if required by law or to protect our rights and users.

AI assistants and connectors

You can connect Sendvanta to AI assistants such as Claude (Anthropic) and ChatGPT (OpenAI) through our connector. When a workspace owner or admin approves a connection, the assistant can access that workspace only through the specific permissions granted on the consent screen (for example, reading campaign analytics or adding leads), acting as the approving user. We issue the assistant scoped, revocable credentials; your Sendvanta password is never shared, and connectors cannot reach billing, member management, or mailbox credentials.

Content you exchange with an assistant — your prompts and the results Sendvanta returns to it — is processed by the assistant's provider (Anthropic or OpenAI) under that provider's own terms and privacy policy. We log connector activity (which app connected, when, and what actions it took) in your workspace's audit trail. You can review and revoke any connection at any time from Settings → Integrations, and revocation takes effect immediately.

Data retention

We retain your data for as long as your account is active and as needed to provide the Service, then delete or anonymize it in line with your plan’s retention window and our legal obligations. You can request deletion of your workspace at any time.

Security

We use encryption in transit and at rest for sensitive data, envelope-encrypt mailbox credentials, and follow least-privilege access practices. No system is perfectly secure, but we work to protect your information.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to certain processing. To exercise these rights, contact us at privacy@sendvanta.com.

International transfers

We operate in the United States and may process data there and in other countries where our providers operate, with appropriate safeguards.

Children

The Service is not directed to children under 16, and we do not knowingly collect their data.

Changes

We may update this policy from time to time. Material changes will be posted here with an updated date.
